- Data protection (UK GDPR)
This section summarises how Lead/Query personal data is handled between NotaryQuote and you.
11.1 Roles of the parties
(a) NotaryQuote acts as a data controller for personal data collected from individuals submitting Queries and for sharing those Queries with relevant Customers.
(b) You act as an independent data controller for the personal data you receive in a Lead, once you receive it and use it to respond and provide services.
11.2 Lawful basis and transparency
11.2.1 NotaryQuote will collect and share Query data based on an applicable lawful basis (typically legitimate interests and/or performance of steps requested by the individual).
11.2.2 You must ensure you have an appropriate lawful basis to process Lead data, and that you provide any required privacy information to the individual (e.g., via your privacy notice), including how they can exercise their rights.
11.3 Permitted purposes
You may process Lead personal data only for:
contacting the enquirer about their Query;
providing a quote, consultation, or the requested notary-related services; and
related administration (record keeping, compliance, invoicing).
Any other use (including marketing unrelated services) requires a separate lawful basis and any required consent.
11.4 Security
You must implement appropriate technical and organisational measures to protect Lead data, including:
access controls and staff confidentiality;
secure storage and transmission;
prompt patching and malware protection; and
minimising access to those who need it.
11.5 Retention
You must not keep Lead data longer than necessary. As a guideline:
If no engagement occurs, delete/anonymise within 6–12 months unless required for compliance;
If you take on the client, retain in line with your professional/legal retention obligations.
11.6 Data subject rights and cooperation
If you receive a request from an individual (access, deletion, objection, etc.), you are responsible for responding as controller. Where the request relates to NotaryQuote’s processing, you should direct them to info@notaryquote.co.uk.
11.7 International transfers
If you or your suppliers transfer Lead data outside the UK, you must ensure appropriate safeguards are in place (e.g., adequacy regulations or UK IDTA/UK Addendum).
11.8 Personal data breaches
You must maintain breach detection/response processes. If a breach affects Lead data received from NotaryQuote, you must notify NotaryQuote without undue delay at info@notaryquote.co.uk, including known details and mitigation steps.
11.9 No special category data
You must not request or process “special category” data (e.g., health, biometrics) unless strictly necessary, lawful, and adequately protected.

12.1 We aim for high availability but do not guarantee uninterrupted service. Maintenance and outages may occur.
12.2 Support is provided via support email during 9 AM – 6 PM.
- Suspension and termination
13.1 We may suspend or terminate access immediately if you:
materially breach these Terms;
misuse Leads or the platform;
fail to pay fees; or
act in a way that may cause harm to users or NotaryQuote.
13.2 On termination, your licence to use the Service ends and we may stop Lead delivery immediately.
- Disclaimers
14.1 We are not a party to any contract between you and an enquirer/client.
14.2 We do not verify the accuracy of every Query and do not guarantee that Leads are genuine or complete, though we may apply anti-spam measures.
- Liability
15.1 Nothing in these Terms limits liability for death/personal injury caused by negligence, fraud, or any liability that cannot be excluded under law.
15.2 Subject to 15.1, we are not liable for indirect or consequential losses (including loss of profits, business, goodwill).
15.3 Subject to 15.1, our total liability arising out of or in connection with these Terms is capped at the total fees you paid to us in the 12 months before the event giving rise to the claim.
- Force majeure
Neither party is liable for delays/failure caused by events outside reasonable control (e.g., major outages, cyber incidents, natural events, government action).
- Changes to these Terms
We may update these Terms by posting an updated version on our website. If changes materially disadvantage you, we will give reasonable notice via email or dashboard notice.
